Rental/Return Terms

To be able to rent a vehicle from AIC Rent a Car, the customer must meet the following conditions:

• Must be at least 21 years old.
• Must hold a valid driving license for at least 1 year.
• Must present a national or international driving license valid for the category of the rented vehicle.
• Must present the documents required for identification and conclusion of the contract.
• Must accept and comply with the terms of the rental contract.

A vehicle is booked based on its availability and the confirmation sent by AIC Rent a Car.

• The company reserves the right to request the payment of a deposit to confirm the booking.
• The deposit may be paid in cash or by bank transfer, depending on the method communicated by the company.
• The vehicle is considered booked after the requested deposit has been received and the booking has been confirmed.
• Cancellation of the booking must be communicated within a maximum of 24 hours from the payment of the deposit.
• If you fail to show up to pick up the vehicle for personal reasons, the deposit paid will not be refunded, being considered unearned income.

When concluding the contract, the customer must present the documents corresponding to the type of contracting person.

The company may request additional documents when they are necessary for customer identification, verification of the right of representation, or conclusion of the contract.

The customer must hold a valid driving licence corresponding to the category of the rented vehicle, obtained at least one year before the rental start date.

• The driving licence must be valid for the entire rental period.
• The customer must present the original driving licence when picking up the vehicle.
• In the case of licences issued outside Romania, the customer must ensure that the document is recognised for driving the vehicle on Romanian territory.
• In situations where applicable legislation requires an international driving permit or an authorized translation, the customer must present the corresponding document.

When picking up the vehicle, the customer pays a security deposit. Its amount depends on the vehicle class and the purpose of use, and is stated in the rental agreement.

The deposit is paid in cash or by card at the time of vehicle pick-up. The exact amount is determined based on the vehicle and is stated in the contract.

Amounts may be withheld from the deposit to cover damages or costs resulting from:

• Damage caused to the vehicle during the rental period.
• Missing accessories, documents, or equipment provided at pick-up.
• Late return or return under conditions other than those agreed.
• Improper use of the vehicle.
• Lack of the necessary documents for the investigation and resolution of a traffic event.
• Other unpaid obligations of the customer, as stipulated in the contract.

The deposit is returned to the customer after the vehicle has been checked and the fulfillment of the contractual obligations has been established.

For the full return of the deposit, the vehicle must be returned:

• In the same condition in which it was picked up, except for normal wear and tear.
• Without new damage or deterioration caused during the rental period.
• Clean, both inside and outside, without excessive dirt.
• With the same fuel level as when it was handed over.
• With all accessories, equipment, and documents received at pickup.

In the event of a road incident or damage caused by third parties, the customer must present the necessary supporting documents, drawn up in accordance with legal and contractual procedures.

The rented vehicle may only be driven by the person named in the rental agreement as the authorized driver.

• Subletting the vehicle or transferring it to other persons is prohibited.
• Driving the vehicle by persons not authorized under the contract is prohibited.
• The customer must use the vehicle responsibly and comply with traffic laws.
• The customer must keep the vehicle, keys, documents, and accessories received safe.
• Any accident, damage, theft, or other event affecting the vehicle must be reported to the company without delay.

The following are included in the rental price:

The following costs are borne by the customer:

• Motorway and road tolls in Romania, where applicable.
• Road, motorway, bridge, tunnel and other traffic tolls outside Romania.
• Fines, penalties or other costs arising from a breach of the law during the rental period.

Any other insurance or protection services apply only if expressly mentioned in the offer or in the rental agreement.

The pick-up and return of the vehicle shall be carried out at the date, time and location mutually agreed upon and specified in the rental agreement.

• The vehicle is handed over with a full tank.
• The vehicle must be returned with the same fuel level as when it was picked up.
• The fuel consumed during the rental period shall be borne by the customer.
• The vehicle is handed over clean, both inside and outside.
• Upon pickup and return, a handover report / delivery and return report is drawn up, attached to the contract.
• The condition of the vehicle, the fuel level, and any observations are recorded at pickup and return.

At the customer's request and subject to availability, the company can provide delivery or collection of the vehicle at prearranged locations.

The vehicle washing service can be requested optionally, at the rate of 20 €.

All additional services are subject to availability and must be arranged in advance with the company representative.

The rental rates are expressed in euros (EUR). Payment is made under the conditions communicated by the company and stated in the rental documents.

If invoicing is in lei, the conversion is carried out according to the exchange rate and currency exchange conditions applicable on the invoicing date, as communicated to the client and stated in the payment documents.

The accepted payment methods are:

The rental payment is made at the beginning of the period, in accordance with the reservation and the contract, unless the parties agree otherwise in writing.

Customers who hold a Star BT card issued by Banca Transilvania can benefit from payment in 3 installments with 0% interest, under the conditions of the Star BT program and the availability of this option at the time of payment.

• Installment payment is available for the rental service, under the conditions accepted by the program.
• Installment payment does not apply to the security deposit.
• No Star points are awarded for this transaction, in accordance with the conditions communicated by the company.
• Transaction eligibility depends on the rules of the Star BT program and the card used.

Throughout the entire contract period, the customer is obliged to:

• Use the vehicle under normal conditions and in compliance with the legislation in force.
• Not to allow the vehicle to be driven by unauthorized persons.
• Not to sublease, transfer, or otherwise dispose of the right to use the vehicle.
• To keep the documents, keys, and accessories received.
• To notify the company in the event of an accident, theft, damage, or any event affecting the vehicle.
• To comply with the legal procedures for reporting traffic events and to provide the necessary documents.
• To return the vehicle on the date, at the time, and to the location specified in the contract.
• To pay the costs and obligations incumbent upon them in accordance with the contract and these terms.

These terms describe the general rules applicable to the rental services offered by AIC Rent a Car.

• The specific conditions of each rental are those set out in the contract signed by the parties.
• The rates, deposit, rental period, additional services, and special conditions are established before the vehicle is handed over.
• Any modification to the initial agreement must be accepted by both parties and recorded in writing.
• In situations that are not expressly regulated by the contract or these conditions, the applicable legislation shall apply.

By signing the rental agreement, the customer confirms that they have read and understood the applicable conditions and that they agree to comply with them.
