AIC Rent a Car offers car rental services in Romania, based on the reservations and the conditions communicated to the customer.

The service operator is SC AIC NISERV COMPANY SRL, CUI 46332210, registered with the Trade Register under no. J40/11695/2022.

The information published on the site is for informational purposes. The conditions applicable to a specific rental are those communicated and accepted for that reservation, together with the related contractual documents.

Reservations can be submitted through the AIC Rent a Car website or through the contact channels provided by the company.

Submitting a request should not automatically be considered a definitive confirmation of car availability. The reservation is considered confirmed after AIC Rent a Carcommunicates the confirmation.

Depending on the reservation, the confirmation may include the following information:

• the rental period and duration;
• the category or model of the reserved vehicle, subject to availability and confirmation;
• the place and time of pick-up and return;
• the rate, the services included and any additional costs;
• the deposit and the method of payment, if applicable;
• the required documents and the special conditions of the rental.

The customer must verify the accuracy of the information provided and notify any changes to the arrival time, rental period or contact details in advance.

To rent a car, the customer and the authorized drivers must meet the requirements communicated for the reserved vehicle category.

• The minimum age indicated by AIC Rent a Car is 21 years.
• The driving license must be valid and held for at least one year.
• The customer must be able to present the requested documents for identity verification and proof of the right to drive.
• Any additional driver must be declared and accepted before driving the car.
• Additional conditions may apply depending on the vehicle category or the specific circumstances of the reservation.

AIC Rent a Car may request additional information or documents when these are necessary to verify eligibility, within the limits of the law and the conditions communicated to the customer.

When picking up the vehicle, the customer must present the requested documents for concluding the contract and verifying the rental conditions.

• valid identity document;
• valid driving licence;
• other documents reasonably requested for the respective reservation.

The exact documents and conditions may vary depending on the customer's situation and the reserved car. We recommend checking the requirements before the pickup date.

The rental rate is determined based on the car, the requested period, the rental duration, and the services included in the confirmed offer.

Before confirmation, the customer must check the quoted price and any additional costs applicable to their booking.

Depending on the booking conditions, the costs may include, if they have been communicated and are applicable:

• the rate for the rental period;
• additional services requested by the customer;
• costs associated with extending the period, if the extension is approved;
• costs related to breaches of the terms of use, if they are contractually provided for and permitted by law;
• other amounts clearly agreed for that specific booking.

The payment method, currency, any advance payment, and the time of payment are communicated in the offer or the booking confirmation.

Any additional cost must have a contractual or legal basis and be applied under the conditions communicated to the customer.

Depending on the vehicle category and the booking conditions, a deposit may be requested. Its amount and the method of providing it must be communicated to the customer before the rental.

The deposit, when applicable, has the role set out in the contractual documents and must not automatically be confused with the rental rate.

Any deductions from the deposit must be justified by the applicable contractual conditions and by the specific situation identified.

The customer is responsible for complying with the obligations incumbent upon them under the contract, including the proper use of the vehicle and the prompt reporting of incidents.

The customer's liability, exclusions, and coverage limits, if any, are established in accordance with the contract, the related documents, and applicable legislation.

Pickup takes place at the location and time agreed and confirmed for the respective reservation.

At pickup, the customer is encouraged to check the general condition of the vehicle and to report any visible damage or discrepancy before departure.

• check the exterior and interior of the vehicle;
• report any observed damage;
• check the documents and accessories handed over, if applicable;
• request clarifications regarding the operation of the vehicle and the procedure in case of an incident;
• keep the contractual documents and the necessary contact details.

Any relevant finding regarding the condition of the vehicle must be recorded in accordance with the procedure communicated at handover.

During the rental period, the customer must use the car prudently, in accordance with its intended purpose and applicable traffic legislation.

The customer must:

• comply with traffic rules and the legal obligations of the driver;
• use the car only under the agreed conditions;
• not allow driving by unauthorized persons;
• not use the car for illegal activities or for purposes incompatible with normal use;
• not to drive under the influence of alcohol, prohibited substances, or in any other situation in which driving is prohibited by law;
• to take reasonable measures to protect the car against theft and damage;
• to promptly notify the operator in the event of an incident, a malfunction, or a situation that may affect the use of the vehicle.

Use outside the agreed conditions may entail the consequences provided for in the contract and by applicable legislation.

Driving the car outside Romania requires the prior approval of AIC Rent a Car.

The customer must communicate the destination and obtain confirmation before departure. Approval may depend on the vehicle category, the countries transited, and the applicable contractual or insurance conditions.

Before an international trip, the necessary documents, territorial coverage, assistance conditions, and any applicable restrictions must be checked.

In the event of an accident, damage, theft or breakdown, the customer must act first and foremost for the safety of persons and comply with the legal obligations applicable to the situation.

• call the emergency services when the situation requires it;
• comply with the legal procedures for establishing and reporting the event;
• inform AIC Rent a Car as soon as possible;
• do not authorize repairs or non-urgent interventions without clarifying the procedure with the operator;
• keep the documents and relevant information for resolving the incident.

In the event of a breakdown, the customer must stop using the vehicle when continuing the journey could endanger people or worsen the problem, and request instructions.

The assistance procedure, the required documents, and the financial liability are established according to the circumstances, the contract, and the applicable legislation.

The vehicle must be returned at the date, time, and location agreed for the respective reservation, in compliance with the instructions received from AIC Rent a Car.

The customer must notify as early as possible if they anticipate a delay and request approval for an extension before the contractual period expires.

The extension must not be considered approved until it is confirmed by the operator.

Upon return, it is recommended to check the vehicle's condition together with the operator's representative and to note any relevant observations.

The fuel level, cleanliness condition, accessories, and any other return requirements are those set out in the booking conditions and contractual documents.

Any cost associated with delay, damage, or failure to comply with the return conditions must be provided for in the applicable conditions and appropriately justified.

If the customer wishes to cancel or modify a booking, they must contact AIC Rent a Car using the contact details available on the website or in the booking confirmation.

Changes to the period, vehicle, location, or pick-up and return time are subject to the operator's availability and confirmation.

Any conditions regarding cancellation, advance payments, refunds, or applicable fees depend on the offer and conditions communicated for the respective booking.

Before making a payment, the customer must check the specific cancellation and modification conditions applicable to their booking.

AIC Rent a Car processes personal data for purposes related to managing reservations, communicating with customers, concluding and performing contracts, fulfilling legal obligations, and other purposes presented in the privacy policy.

The categories of data processed, the legal bases, the retention periods, the recipients, and the rights of data subjects are described in the privacy policy published on the site.
